AstraZeneca Pharmaceuticals LP Early Talent Acquisition Co-ordinator in Warsaw, Poland

Major Responsibilities

  • To deliver a professional and consistent administration service to ET TAq customers, both internal and external, using AstraZeneca systems and processes in line with agreed service levels

  • To ensure that all processes and transactions are completed in an accurate and timely manner.

  • To adopt a flexible approach to job content with a view to developing own skills and knowledge to undertake a range of task requirements within the team.

  • To identify and escalate any potential or actual problems/issues with delivering to service levels to customers.

  • To contribute to the provision of management information and requests for reports to ensure these are provided within the specified time scales

  • To contribute to the effectiveness and continuous improvement of the team and TAq overall performance by supporting and sharing knowledge and information with team members and other appropriate colleagues

  • To implement and follow through any changes to processes and transactions to agreed standards and times scales

  • To take responsibility for actions and promises to both internal and external customers and act in a way that partners with the business to deliver a centre of excellence that informs, educates and provides high quality HR administrative specialist support in an efficient & effective manner

  • To take responsibility for the TAq assessment centre logistics, including:

Invitation letters for all graduate programmes in all locations (across UK, US and Sweden), ensuring all necessary attachments are correct and included

  • Set up face to face interviews and produce Assessor Packs for the interview panels for all Postdoc campaigns across UK, US and Sweden

  • Process all candidate expenses

  • Support the PD TAq partner with updating relevant trackers, including WorkDay updates in coordination with the Postdoc TAq partner

  • Support the onboarding of all Postdoc new hires, including the processing of all relevant paperwork (HRF/Approvals/ID), screening, onboarding and issuing official contracts. Act as SME for new hire and also the HM

  • Support with any process changes and update relevant process documents Have an understanding of immigration and be prepared to research individual cases with our Immigration agency, alongside the PD TAq Partner/HM.

  • Support the processing of Visa requests and RLMT Support ET Recruitment Manager with metrics and reporting as/when required Manage the ET calendar and inbox, ensuring Postdoc contacts spreadsheets (following an event) are managed and dealt with

Minimum Requirements

  • Strong administration background

  • Advanced MS Word & Excel User

  • Experience of working within a customer service environment

  • Experience of dealing with customers on a one to one basis using both verbal and written communication skills

  • Experience of working flexibly within an environment where priorities often change

  • Experience of working in a high volume transaction processing environment, ideally with HR processes

  • Experience of working in a changing environment

Internal and External Contacts/Customers

  • Develop and maintain partnership relationships internally with PD TAq Partner, ET Recruitment Manager and Hiring Managers

  • Maintain supportive, collaborative relationships with client area administrative staff and with HR Service Delivery and Data Records Management staff

  • Support and develop strong positive relationships with candidates/applicants and potential candidates
