Avanade Inc. Administrative Assistant in Krakow, Poland

Administrative Assistant will provide comprehensive administrative support to day to day operations. The ideal will closely liaise with human resources and operations as well as other departments throughout the company by providing support to achieve the organization goals and objectives.

Key Responsibilities and Duties:

  • Performing administrative and office support activities

  • Coordinate purchasing of equipment and supplies for teams in accordance with procurement and vendor processing standards

  • Receive, sort and distribute incoming mail

  • Assist with planning an monitoring the office renovations

  • Assist with HR administrative work

  • Assist in planning and coordinating social events

  • Support onboarding and day-to-day support of team members related to operational processes such as time and expense reporting, booking resources and meeting space, etc.

  • Act on behalf of executives and teams to deliver communications to internal and external stakeholders at all levels

  • Ensure adherence to corporate policy and best practices related to confidential and personal information, time and expense policy compliance, etc.

  • Supporting employees in time and expense reports

  • Maintaining office expense work flow (collecting and verifying invoices, updating procurement system, cooperating with external vendors etc.)

  • Ensure office equipment is properly maintained and serviced


  • Student (4-5 year of study) or Graduate

  • Up to 2 years of experience on similar position

  • Competent computer skills including MS Office

  • Strong organizational skills and attention to detail

  • High degree of integrity concerning confidential information

  • Internet research abilities

  • Strong communication skills

  • Ability to independently handle numerous task at once in a high energy, fast paced environment

  • Advanced in English, both oral and written

  • Other Skills/Knowledge:

  • Process and project management - including prioritization, problem-solving, and efficiency

  • Customer Service - including managing expectations of senior-level stakeholders regarding difficult or sensitive issues

  • Communication - including persuasion and negotiation
